Ansela / Privacy notice
Privacy notice
Last updated: 11 October 2026.
This notice explains how we use personal data when we run Ansela. It covers three groups of people: businesses that use Ansela, people who call those businesses, and people who visit this website or come to us from an ad.
Who we are
Ansela is a trading name of Bookeasy.ai Ltd, a company registered in England and Wales with company number 15411906. Our registered office is 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. Our VAT number is GB 464 9305 71. We’re registered with the Information Commissioner’s Office (ICO), registration number ZC095748.
For anything about your personal data, email privacy@bookeasy.ai.
Our two roles
- For business customers and website visitors, we’re the controller. We decide how and why that data is used, and this notice explains it.
- For people who call a business that uses Ansela, the business is the controller. We’re its processor. We use callers’ data only to run Ansela for that business, on its instructions. Our data processing terms set out the rules we follow.
If you called a business and want to know what it does with your data, ask that business first. We’ll help it answer you.
What we collect from business customers
- Account details. Your name, email, mobile number, business name and address, and the details of anyone you invite.
- Your setup. Opening hours, services, prices, the answers and rules you give Ansela, your diary, and the numbers calls are passed to.
- Billing. Your plan, invoices, minutes used and payment status. Stripe handles card payments. We never see or keep your full card number.
- Usage. Logs, IP addresses, browser and device details, and error reports. Error reports can include a replay of what happened on screen in the app, with all text and images hidden.
- Messages with us. Support emails and calls.
Why we use it, and our lawful basis
- To provide Ansela, bill you for it and run your account. Basis: our contract with you.
- To tell you about your account, such as call summaries, minute warnings, payment problems and changes to our terms. Basis: our contract with you.
- To keep the service secure, stop fraud and abuse, and fix faults. Basis: our legitimate interests in running a safe, working service.
- To send you news about Ansela. We only do this by email to customers, about similar services, with an unsubscribe link in every email. Basis: our legitimate interests, within the rules in the Privacy and Electronic Communications Regulations (PECR).
- To keep tax and accounting records. Basis: legal obligation.
People who call a business that uses Ansela
When Ansela answers a call for a business, she handles the following for that business:
- the caller’s phone number, and the time and length of the call;
- a recording of the call, a written transcript and a short summary;
- what the caller tells her, such as their name, contact details, address, the reason for the call and any appointment booked;
- voicemail messages, and text messages the business sends through Ansela.
Ansela’s greeting tells callers the call may be recorded. The business decides what Ansela asks and what it does with the information. The business’s own privacy notice explains this.
Callers sometimes mention health or other sensitive details. Ansela isn’t built to collect them, and businesses shouldn’t set her up to ask for them.
We don’t use callers’ recordings or transcripts for our own purposes, and we don’t use them to train AI models, ours or anyone else’s.
Website visitors and people who come from our ads
- No tracking cookies. This website and our sign-up pages don’t use the Meta pixel, analytics cookies or advertising trackers. Our cookie page lists what is set.
- Server logs. Our host, Cloudflare, sees your IP address and browser details when you load a page, and uses them to deliver the site and keep it secure.
- Fonts. Our fonts come from Google Fonts, so your browser connects to Google, which sees your IP address.
- Ad clicks. If you arrive from one of our Facebook or Instagram ads, the link carries a click ID set by Meta and campaign tags (UTM parameters) that name the ad. Those two things are all we keep from the ad. We keep them with your enquiry or sign-up, so we know which ad brought you.
- What we tell Meta. If that click becomes a lead, a sign-up or a paying customer, our server tells Meta so, using only the click ID. We don’t send Meta your name, email, phone number or anything else about you. Meta uses this to measure our ads. We don’t send Meta anything about people who reach us another way.
We use ad clicks and campaign tags on the basis of our legitimate interests in knowing which ads work. You can object at any time by emailing privacy@bookeasy.ai, and we’ll stop sending events about you.
Who we share it with
We use the suppliers below to run Ansela. Each one works under a written contract that limits what it can do with the data and requires it to keep the data secure.
- Microsoft Azure. Hosting, the database, and storage for call recordings and transcripts. Where: UK (UK South).
- Microsoft Azure AI Foundry. The AI models, run by Microsoft, that hold the conversation, understand what callers say and write call summaries. Where: Our Azure AI resource is in Sweden (EU). Microsoft may process requests in other regions where it runs these models. Where it does, UK-approved safeguards apply.
- Twilio. Phone numbers, carrying calls, recording calls, voicemail and text messages. After a call the recording is moved to our Azure storage and deleted from Twilio. Where: US, with a global network.
- ElevenLabs. Turning callers’ speech into text, and Ansela’s voice. Where: US.
- TypeSafe. An AI service that reads what is said during a call to check some of what callers mean, for example which appointment time they picked. We’re asking TypeSafe to agree to keep none of this data. Until that’s agreed, it may keep what it receives in line with its own terms. We’ll update this page when that changes. Where: US.
- Stripe. Subscriptions, invoices and card payments. Where: US and Ireland.
- Clerk. Sign-in and account security for business users. Where: US.
- Resend. Account and service emails, such as call summaries and minute warnings. Where: US.
- Sentry. Error reports, so we can find and fix faults. Where: EU (Germany).
- Cloudflare. Hosting this website, and the bot check on the sign-up page. Where: Global network.
Meta Platforms Ireland receives the click events described above. If you’re a business customer and you connect your own Meta account for lead ads, data moves between Ansela and Meta on your instructions, under Meta’s terms with you.
We also share data where the law requires it, or to protect our rights. If Bookeasy.ai Ltd or its business is sold, the buyer would take on this data under the same rules. We don’t sell personal data.
Where your data is
Our database and call recordings are stored in the UK (Microsoft Azure, UK South). Some of the suppliers above handle data outside the UK, mainly in the US and the EU. Where they do, we rely on UK adequacy regulations (which cover the EU and EEA, and US companies certified under the UK extension to the EU-US Data Privacy Framework) or on the ICO’s International Data Transfer Agreement or Addendum. Ask us for a copy of the safeguards that apply: privacy@bookeasy.ai.
How long we keep it
- Call recordings and transcripts. 90 days by default, then we delete them automatically. A business that needs a different period can ask us.
- Your account data. While your subscription runs. When it ends, we delete or anonymise it within six months, unless you ask us to delete it sooner, you come back, or the law requires us to keep it.
- Billing records. Six years after the end of the financial year they relate to, as tax law requires.
- Logs and error reports. Up to 12 months.
- Ad clicks and campaign tags. With your account while it’s open. If you made an enquiry or started signing up but didn’t become a customer, up to 12 months.
Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict how we use it, to object to how we use it, and to take it to another provider. Where we rely on your consent, you can withdraw it at any time. We’ll reply within one month.
If you called a business that uses Ansela, contact the business first, as it controls your data. If it doesn’t help, email us and we’ll pass your request on.
If you’re unhappy with how we’ve used your data, please tell us first at privacy@bookeasy.ai and we’ll try to put it right. You can also complain to the ICO at ico.org.uk or on 0303 123 1113.
Security
We encrypt data in transit and at rest. Each business’s data is kept separate in our database, and only staff who need access get it. No system is perfectly secure, and if something goes wrong we’ll tell the people we have to, as the law requires.
Changes to this notice
When we change this notice we’ll update the date at the top. If the change matters, we’ll also email business customers.
