A Tuesday evening call to an independent agency. The vendor isn’t sure she’s selling, books the wrong day, and still ends up in Saturday’s diary.

Carter and Vale Estate Agents, Ansela speaking. How can I help?

Caller

Oh, hi, I didn’t think anyone would answer. We’re thinking of selling. Well, my husband is, I’m not sure yet. Could someone come round and tell us what it’s worth?

Ansela

Of course. James can come out for a valuation. Can I take the postcode of the house?

Caller

YO24 1AB. It’s a three-bed semi, we’ve done the kitchen.

Ansela

Thanks. Just to check, that’s YO24, Y-O for York?

Caller

That’s it. Acomb.

Ansela

James has Thursday at half five or Saturday at ten.

Caller

Thursday. Hang on, no, he wants to be here as well. Saturday.

Ansela

Saturday at ten. Can I take your names and the best number?

Caller

Sarah and Paul Whitaker. This number’s fine.

Ansela

Thanks Sarah. James will see you both on Saturday at ten, and he’ll have the details tonight.

What she does for an agency, and what she won’t

She works from what you tell her: your area, your hours, your valuation and viewing slots and the key facts on the listings you give her.

  • Valuations and viewings, booked into your diary with the address and the caller’s details.
  • Buyers and tenants ringing off a portal listing, with what they’re after, their budget and whether they’ve a place to sell.
  • “Is it still available?” and “Has it got a garage?” answered only from the details you’ve given her.
  • A message for a negotiator out on a viewing, taken and written up.
  • Won’t make anything up about a property. If the detail isn’t in what you gave her, she takes a message.
  • Won’t negotiate, give a valuation or comment on an offer. Those come straight to you.
  • Won’t book into Reapit, Alto or your portal inbox. She books into your Ansela diary and emails you the details.

03

What happens when an estate agent misses a valuation call?

A vendor who rings at ten past seven is usually ringing round. They have a few agencies in mind and they ring in turn. The one that answers, or rings back first, tends to get the valuation visit, and the instruction often follows from that.

The daytime has its own gap. Your negotiators are out on viewings, someone is ringing off a portal listing, and the office phone rings out. A buyer who can’t get an answer about a house keeps looking.

04

What does an AI receptionist do for an estate agency?

For a valuation she takes the postcode, the type of property, who owns it and the day that suits, then books a slot from the ones you’ve set. For a viewing she takes the property, the caller’s name and number, and whether they’ve a house of their own to sell.

For a buyer or tenant she takes what they’re after and their budget if they say it. Everything goes into your Ansela diary and an emailed summary, with the recording and transcript, so you can ring back with the full picture.

05

What does she say about a property, and what won’t she say?

Only what you’ve given her: the details on your listings, your fees if you’ve written them, your area and hours. If a caller asks about something that isn’t there, such as the age of the roof or whether the sellers will take less, she takes a message and says so.

She gives no valuation and no price advice, doesn’t negotiate and doesn’t comment on an offer. Those calls come to you. Membership of The Property Ombudsman or Propertymark is for you to state. If you want it said to callers, write it into her instructions.

06

Can she book viewings and valuations out of hours?

Yes, inside the hours and slots you set. Leave the divert on after you lock up and the evening and weekend calls go to her. She books into your Ansela diary, which you can see and change from your phone. She doesn’t connect to your property software, so confirm with the vendor as you normally would.

Team gives each negotiator their own diary. For an urgent call, such as a tenant reporting a gas smell, you set the rule and the wording.

Plans start at £99 a month + VAT: see what each plan includes. Paying a per-call service now? See how Ansela compares.

Where the phone usually is after the office shuts

A small estate agency on a high street at dusk, the office dark and the window display lit
A Tuesday in York. Lights off at six, a valuation request at ten past seven.

We built Ansela because we kept ringing tradespeople who couldn’t pick up, and then booking someone else. She isn’t a call centre. She answers in your name, says what you’ve told her to say, and writes down what the caller wanted.

If she gets a call wrong, forward us the recording.

08

How do you set up Ansela?

You choose a plan before your number goes live.

For independent estate agents: keep your current number and divert it to Ansela, or take a new UK business number for your website and cards, or use both.

  • Give her your website. She reads it and comes back with your area, hours and services for you to check, and you choose what she may say about current listings.
  • Pick a voice and try her. Have the valuation call above with her yourself, in your browser, before she takes a real one. Ask her what your house is worth.
  • Divert your mobile. We give you a UK number. One short code diverts your mobile to it when you don’t pick up. Another turns it off.

Questions independent estate agents ask

Can she answer questions about our listings?

Only from what you’ve given her. Keep the key facts in her knowledge base and she sticks to them. Anything else, she takes a message.

Can she tell a vendor what their house is worth?

No. She books the valuation and you give the figure. She gives no price advice and doesn’t comment on offers.

Can she book viewings on a particular property?

Yes. She takes the property, the caller’s details and books into your diary. Confirm with the vendor as you normally would.

Does she take tenant repair calls?

She takes the details and passes them on. For anything urgent you set the rule and the wording, including the gas emergency number, 0800 111 999.

Do I have to change my number?

No. We give you a UK number and you divert your own to it with a short code (codes by network). Turn the divert off whenever you like.

What is a minute, and can she take two calls at once?

A minute is time she spends on the phone with callers. Starter includes 600 a month, extra minutes are 20p each up to a limit you set, and Starter takes 1 call at a time. A caller who rings while she’s busy can leave a voicemail, which doesn’t use your minutes.

Is there a contract, and what happens after the £1.99 month?

No minimum term. After the first month it carries on at your plan price plus VAT unless you cancel, which you can do from your billing page at any time.

Out on a viewing or locked up for the night, she’ll answer.
