Set up in about 15 minutes.

Is there an answering service for carpet cleaners?

Yes. Ansela is an AI phone receptionist for carpet and upholstery cleaners. She answers in your business’s name while the extractor is running, takes the rooms, the postcode and any stains, gives the prices you’ve set and books the clean into your Ansela diary. Plans start at £99 a month + VAT.

The call that came in over the extractor

This is the kind of call an end-of-tenancy month brings. The caller miscounts her bedrooms, forgets the removal van, and still gets Thursday at one.

Intro

This call may be recorded. Thank you for calling Fresh Fibre Carpet Care. Please hold for a moment while I connect you.Recorded, and played before she picks up.

Ansela

Fresh Fibre Carpet Care, Ansela speaking. How can I help?

Caller

Hiya. Right, so we’re moving out end of the month and the agent says the carpets need doing or it comes off the deposit. Lounge, stairs and landing, and two bedrooms. Actually just the one, the box room’s laminate.

Ansela

So that’s the lounge, the stairs and landing, and one bedroom. Is that right?

Caller

Yeah. And there’s a red wine mark by the telly. Will that come out?

Ansela

Sam will look at it on the day, but he won’t promise a stain until he’s seen it. Can I take your postcode?

Caller

PR2 8HJ.

Ansela

Thanks. Those rooms come to a hundred and fifteen pounds. Sam has Thursday at one or Friday at nine. Which is better?

Caller

Friday. No, wait, the van’s coming Friday. Thursday.

Ansela

Thursday at one, then. Can I take a name and the best number?

Caller

Leanne Hughes. 07700 900427.

Ansela

Thanks Leanne. You’re booked for Thursday at one. Sam gets the rooms and the wine mark now.

What she does for a carpet cleaning firm, and what she won’t

She works from what you tell her: your prices per room and per item, your area, your drying times and your rules for stains.

  • Carpet and upholstery cleans, booked into your diary with the rooms, the postcode and anything awkward.
  • “How much for a lounge and a three-seater?” answered from your own price list.
  • “How long till we can walk on it?” answered with the drying time you’ve given her.
  • Moving a clean or cancelling one, taken and written up.
  • Won’t promise a stain will come out. She notes it so you see it before you arrive.
  • Won’t quote for anything you haven’t priced. A rug, a mattress, a car interior: she books a look or takes a message.

03

What happens when a carpet cleaner misses a call?

The person ringing usually has a date. Guests are coming on Saturday, the tenancy ends at the end of the month, the dog has been sick on the stairs carpet. They ring three firms from a search and book whoever picks up or rings back first.

You can’t hear the phone with the machine going, and you can’t answer it with a wand in your hand and a wet sofa in front of you. A missed call usually means a lost job, not a delayed one.

04

What does an AI receptionist ask someone who wants a carpet cleaned?

The things you’d ask yourself. Which rooms, and are they carpet or laminate? Is it a stairs and landing job? What fabric is the sofa? Is there a stain, and what is it? Then the postcode, so she can say whether you cover them.

If you’ve given her a price for each room or item, she adds it up and tells the caller the total. Anything you haven’t priced, such as a rug or a mattress, she books as a look or takes as a message.

05

Can she book end-of-tenancy cleans and upholstery jobs?

Yes. End-of-tenancy is the busy end of the month, and callers often ring for a letting agent or a landlord. She takes the property address, the date the keys go back, and who should be rung about the job.

She books into your Ansela diary using the days and windows you’ve set. Drying time is a rule you give her, so she can answer “when can we walk on it?” in your words. She doesn’t connect to any other calendar, so if you keep one, check both.

06

What won’t an AI receptionist promise on a stain?

She won’t say a mark will come out. She says you’ll look at it on the day, and the stain goes in your emailed summary with the rooms, so you know about the red wine or the pet accident before you arrive.

She also won’t quote for anything outside your price list, and she won’t guess. If she doesn’t know, she takes a message and says so.

Where the phone usually is while the carpet’s drying

An empty living room with a freshly cleaned damp carpet, the sofa on foil squares and a hose through the doorway
Wednesday in Preston. Carpet drying, hose out to the van, the phone on the van’s front seat.

We built Ansela because we kept ringing tradespeople who couldn’t pick up, and then booking someone else. She isn’t a call centre. She answers in your name, says what you’ve told her to say, and writes down what the caller wanted.

If she gets a call wrong, forward us the recording.

08

How do you set up Ansela?

You choose a plan before your number goes live.

For carpet and upholstery cleaners: keep your current number and divert it to Ansela, or take a new UK business number for your website and cards, or use both.

  • Give her your website. She reads it and comes back with your services, your area and your hours for you to check.
  • Give her your price list. Per room, per item, your minimum charge and your drying times. Then try the end-of-tenancy call above with her in your browser.
  • Divert your mobile. We give you a UK number. One short code diverts your mobile to it when you don’t pick up. Another turns it off.

Questions carpet and upholstery cleaners ask

Can she add up a price for several rooms?

Yes, from the prices you’ve given her. She tells the caller the total and puts it in your summary. Anything you haven’t priced, she books a look.

Letting agents book end-of-tenancy cleans with us.

She takes the property address, the date the keys go back and who the invoice goes to, then books it or passes it to you.

People always ask if a stain will come out.

She says you’ll look at it on the day and won’t promise. The stain goes in your summary so you know before you arrive.

Can she tell people how long carpets take to dry?

Only with the drying time you’ve given her. Put your usual guidance in what you give her and she says it as you wrote it.

Do I have to change my number?

No. We give you a UK number and you divert your own to it with a short code (codes by network). Turn the divert off whenever you like.

What is a minute, and can she take two calls at once?

A minute is time she spends on the phone with callers. Starter includes 600 a month, extra minutes are 20p each up to a limit you set, and Starter takes 1 call at a time. A caller who rings while she’s busy can leave a voicemail, which doesn’t use your minutes.

Is there a contract, and what happens after the £1.99 month?

No minimum term. After the first month it carries on at your plan price plus VAT unless you cancel, which you can do from your billing page at any time.

Let the machine run, she’ll answer.
