The call that came in mid-way through a bathroom

This is the kind of call a cleaning firm gets from a new client. She can’t decide how often, starts reading out her key safe code, and still ends up in Saturday’s diary.

Example call; Bright Mornings Cleaning and the caller are made up.

This call may be recorded. Thank you for calling Bright Mornings Cleaning. Please hold for a moment while I connect you.Recorded, and played before she picks up.

Bright Mornings Cleaning, Ansela speaking. How can I help?

Caller

Hi. I’m after a regular clean, weekly maybe, or fortnightly, I haven’t decided. I work long days so I wouldn’t be in. Do you cover Headingley?

Ansela

We do. Weekly or fortnightly are both fine, and it’s eighteen pounds an hour with a three-hour minimum. Karen likes to see the house first. Can I take your postcode?

Caller

LS6 3BN. It’s a four-bed terrace, students had it before us, so, you know. There’s a key safe by the door, the code’s four, one,

Ansela

Hang on, don’t give me the code over the phone. Karen sorts keys with you when she comes round.

Caller

Oh, right, yeah. Fair enough.

Ansela

Karen can come Wednesday at six or Saturday at ten. Would either work?

Caller

Saturday. Ten’s early for a Saturday, but fine.

Ansela

Saturday at ten. Can I take your name and the best number?

Caller

Aisha Begum. 07700 900536.

Ansela

Thanks Aisha. Karen will see you Saturday at ten to look round and talk about keys.

What she does for a cleaning company, and what she won’t

She works from what you tell her: your hourly rate, your minimum visit, your area and how you like to meet a new client.

  • Look-rounds for new clients, booked into your diary with the postcode and the size of the house.
  • “How much an hour?” and “Do you bring your own products?” answered from your own answers.
  • “Can she come Thursday instead?” from a client you’ve already got, taken and written up for you to sort.
  • End-of-tenancy and one-off cleans, booked as a look-round or passed to you.
  • Won’t price a house she hasn’t heard about from you, unless you charge by the hour and have given her the rate.
  • Can be set not to take keys or codes. A code a caller says still lands in the recording.

03

What happens when a cleaning company misses a call?

A new client usually rings once, at a quiet moment in their day, and wants to know if you cover them and what you charge. If nobody answers, they go on to the next firm on the list. Existing clients ring too, and they’re not a lost sale, but they still want someone to hear that Thursday needs to move.

You can’t take calls with your hands in a client’s oven, in a house that isn’t yours. Answering in front of them feels wrong, and leaving the phone to ring feels worse.

04

What does an AI receptionist ask someone who wants a regular clean?

Whatever you’d ask on a first call. The postcode, the size of the house, how many bedrooms and bathrooms, whether they want weekly, fortnightly or a one-off, and whether it’s an end-of-tenancy job. If you charge by the hour and have given her the rate and your minimum visit, she says so.

Then she offers the look-round slots you’ve set, takes a name and number, and writes it up. With the Team plan, each cleaner or supervisor can have their own diary.

05

What about keys, key safes and alarm codes?

People say these things on the phone without thinking. A client reads out the key safe code, or says where the spare is hidden. You can tell Ansela not to take keys, key safe codes or alarm codes at all, and to say you’ll sort access when you meet. A code a caller says before she stops them still lands in the recording. That’s how the example call on this page goes.

Recordings and transcripts sit in your account for you and the people you give access to. Treat them as you would any client’s house details.

06

Can she handle calls from clients I already have?

She takes them and writes them up: can Thursday move to Friday, can you do the oven this time, we’re away for two weeks. You get the summary and sort it, because she can’t change a rota she doesn’t know about. Cover for a sick cleaner is the same: she takes the message and you decide.

Plans start at £99 a month + VAT: see what each plan includes. Paying a per-call service now? See how Ansela compares.

Where the phone usually is while the bathroom gets done

An empty terrace kitchen with a caddy of cleaning sprays and yellow gloves on the table, a mop by the back door
A Monday in Headingley. Kitchen done, bathroom next, the phone in a coat on the banister.

We built Ansela because we kept ringing tradespeople who couldn’t pick up, and then booking someone else. She isn’t a call centre. She answers in your name, says what you’ve told her to say, and writes down what the caller wanted.

If she gets a call wrong, forward us the recording.

08

How do you set up Ansela?

You choose a plan before your number goes live.

For domestic cleaners and cleaning companies: keep your current number and divert it to Ansela, or take a new UK business number for your website and cards, or use both.

  • Give her your website. She reads it and comes back with your services, your area and your hours for you to check.
  • Tell her how you take on a client. Your rate, your minimum, whether you always look round first. Then try the new-client call above with her in your browser.
  • Divert your mobile. We give you a UK number. One short code diverts your mobile to it when you don’t pick up. Another turns it off.

Questions domestic cleaners and cleaning companies ask

Can she book look-rounds for my cleaners, not just me?

On Team, yes. Each cleaner has a diary and she books into the right one, inside the hours you’ve set for them.

Clients tell her private things.

The transcript and the recording are in your account for you and the people you give access to. Treat them like any other client record.

We’re full at the moment.

Tell her, and she takes the details of anyone who rings so you can call them back when a slot opens.

Will she take a key safe code?

Not if you tell her not to. A common rule is that access is sorted in person, and she tells the caller exactly that. A code said aloud still lands in the recording.

Can she tell people my hourly rate?

Yes, if you’ve given it to her, along with your minimum visit. If you price by the house, she books a look-round instead.

Do I have to change my number?

No. We give you a UK number and you divert your own to it with a short code (codes by network). Turn the divert off whenever you like.

What is a minute, and can she take two calls at once?

A minute is time she spends on the phone with callers. Starter includes 600 a month, extra minutes are 20p each up to a limit you set, and Starter takes 1 call at a time. A caller who rings while she’s busy can leave a voicemail, which doesn’t use your minutes.

Is there a contract, and what happens after the £1.99 month?

No minimum term. After the first month it carries on at your plan price plus VAT unless you cancel, which you can do from your billing page at any time.

Keep your gloves on, she’ll take the enquiry.
